Opt-in Feature: Disable automatic order archiving

Note: Before reading this article; it's important that you are familiar with what an Archived order is in SKULabs.

What this feature changes

When you enable “Disable automatic order archiving,” SKULabs will stop automatically releasing reserves when an order temporarily disappears from sync.

Instead, SKULabs will:

  • Move the order to the Archived tab

  • Apply the tag: Hold - Archived

  • Continue holding reserves to prevent inventory from being released unintentionally

When the order reappears in sync, SKULabs will remove the tag and the order will return to Processing automatically.

Important notes

  • Purchasing and Stock Sync will continue to treat "Hold - Archived" orders as reserved inventory.

  • Batches will not automatically select "Hold - Archived" orders.

  • The Processing tab will not show "Hold - Archived" orders.

  • Orders that are explicitly cancelled or archived on the sales channel will continue to archive normally, with no change required.

Why this helps

This opt in reduces a common frustration: reserves being released because an order briefly disappeared, which can trigger incorrect in stock notifications and oversell scenarios.

In exchange for manually processing obscure cancellations that were not correctly filed on your sales channel, you can guarantee reserves won't be released when orders temporarily disappear from sync.

After this setting is enabled, we'll continue to hold your reserves and shift the order to the "Archived" tab with a tag "Hold - Archived" avoiding mistaken fulfillment. As soon as the order re-appears we will remove the tag and the order will re-appear as processing.

We believe this new manual process for cancelling archived orders will help eliminate a major point of frustration while still eliminating any risk of late or mis-shipment. No more in-stock notifications for temporarily released inventory!


How to enable

  1. Go to your store's settings within SKULabs.

  2. Click "Choose warehouses" next to your stock sync toggle on the top right.

  3. Enable: "Disable automatic order archiving when orders disappear from sync."

  4. Click save.

What to do after enabling

  • Monitor the Archived tab for orders tagged Hold - Archived.

  • For any order that should not be fulfilled, cancel it manually using Modify status.

  • If the order should be fulfilled, you can remove the Hold - Archived tag to return it to the Processing tab.

If you see a large volume of Hold - Archived orders

If you encounter many Hold - Archived orders that you believe should be handled automatically, contact support with a few example order numbers and reference this article.

In many cases, the root cause is that your store is not syncing key statuses (Cancelled, Shipped, Refunded), or your SKULabs integration settings need a small adjustment so those statuses import correctly.
